Wiral helps businesses manage customer conversations and bookings across channels like WhatsApp, Instagram, Facebook, and website chat. This Privacy Policy explains how Wiral collects, uses, shares, and protects personal data when you visit our website, use our platform, or contact us.

Wiral Services W.L.L is the provider of the Wiral platform.

  1. Roles. Controller vs Processor

• If you are a business customer using Wiral, you are usually the Data Controller for your customers’ conversation data. Wiral acts as a Data Processor and processes data only based on your instructions.

• If you are a website visitor or you contact Wiral directly, Wiral is the Data Controller for that data.

• If you are an end customer messaging a business that uses Wiral, contact that business for privacy requests. Wiral cannot delete or change that business’s records without their instruction.

  1. Personal data we collect

A. Data you provide to us

• Account details like name, email, phone, company name, job title

• Billing details and payment status if applicable

• Support requests, messages, and attachments you send to us

• Any information you enter into forms, onboarding documents, or demos

B. Data we process when you use the platform

• Conversation content and metadata. Messages, timestamps, channel, assigned agent, tags, notes

• Lead information captured from chats. Name, phone, email, preferences, booking details

• Booking data. Appointment times, timezone, meeting links, status

• Campaign data. Message templates, audience lists uploaded by the customer, delivery status

• Usage and device data. Log data, IP address, browser type, pages viewed, feature usage, error logs

C. Cookies and similar technologies

We use cookies and similar tools for basic site functionality, analytics, and to improve performance. You can control cookies in your browser settings.

  1. Why we use personal data

We use personal data to:

• Provide and operate the Wiral platform

• Connect channels and deliver messages on your instruction

• Automate replies, qualification, routing, follow-ups, and bookings

• Provide customer support and troubleshoot issues

• Send service updates, security alerts, and admin messages

• Process payments and manage subscriptions, if applicable

• Channel providers that you connect. For example Meta services for WhatsApp and Instagram, based on your configuration

• Your team and admins. Users in your account with assigned permissions

We do not sell personal data.

  1. Data hosting, security, and protection

Customer data is hosted on Microsoft Azure in Qatar. Data is encrypted at rest using AES-256 and in transit using TLS 1.2 or higher. Access is restricted to authorized staff and logged.

We also maintain audit logs and monitoring to detect misuse and improve security. We do not share or sell customer data.

  1. Data retention

We keep personal data only as long as needed for:

• Providing the service

• Legal, accounting, and security requirements

Retention periods depend on the data type and customer settings. When data is no longer needed, we delete or anonymize it.

  1. International transfers

If data is processed outside your country due to service providers or support operations, we use appropriate safeguards where required. If you need a specific data residency commitment, request it in writing.

Depending on your location, you may have rights to:
